This Privacy Notice explains who we are, how and why we collect and use personal information about you, our legal basis, relevant retention periods and how you can exercise your data subject rights. Who we are

The Manchester Metropolitan University (‘the University’) is the Data Controller in respect of the personal data you provide as part of your agreement to undertake a Professional Placement. The University is registered as a Data Controller with the Information Commissioner’s Office (ICO); our ICO registration number is: Z5710637. We manage personal data in accordance with the General Data Protection Regulation (GDPR) and the University’s Data Protection Policy. 

The personal data we process

The information you provide will enable the Professional Placements Office to find and confirm a placement setting for your chosen course. The personal data we collect about you may include the following:

  • First and last name 
  • MMU ID
  • MMU email address             
  • Postcode
  • Dependents             
  • Qualification
  • Additional experience          
  • Chosen subject(s)
  • Whether you have access to car and the correct insurance or whether you have any restrictions
  • Photograph

You may also be asked additional questions to assist the Professional Placement Team to find a suitable placement setting relating to your programme of study, taking into account any additional support you may require. For example, the University is committed to supporting all students and providing reasonable adjustments for all disabled students.  If you disclose a disability, we will share the information with the setting once the placement is confirmed, and only with your prior consent.  The Professional Placement Office discloses this information so it may be used to consider reasonable adjustments.  

The purposes of the processing

Your information will enable us to:

 Allocate you a placement appropriate to your programme of study.

  • Allocate you a placement based on the programme regulations and criteria.
  • Share only necessary and informative data with third party placement setting to enable them to offer you the best placement experience.
  • Share reasonable adjustments information to a third party placement setting with your consent.

In particular, we may share the following information with third party placement settings:

First and last name.

  • MMU ID.
  • MMU Email address.
  • DBS issue date and certificate number.
  • Qualifications.
  • Subject of study.
  • Additional experience/qualifications.
  • Disability information (only if consent has been given).
  • A photograph for the purposes of creating a placement ID card.

If you contact us, we may keep a record of that correspondence.

The lawful basis for the processing

The Professional Placements Team are responsible for ensuring students have a placement setting suitable for your course requirements. The allocation of placements is conducted in fulfilment of the student contract formed when you confirmed your programme of study. Furthermore, Professional placements have a clear public interest; they form a core part of the educational and teaching services offered by the University in its capacity as a public authority. As such, the public task lawful basis applies to the processing for the purposes identified above.

The recipients or categories of recipients of the personal data

Your personal information is held by the University’s Professional Placements Office and is stored confidentially within the University’s IT systems until the retention period has expired.

Limited information about you is shared with the placement provider.  Your placement setting will only receive aspects of personal information once your placement setting is confirmed.

The right to withdraw consent

If we have collected and processed your personal information with your consent, you can withdraw your consent at any time. Withdrawing your consent will not affect the lawfulness of any processing we conducted prior to your withdrawal, nor will it affect processing of your personal information conducted in reliance on lawful processing grounds other than consent. Data retention

The Professional Placements Office retains your personal data for no longer than is necessary in accordance with the University’s Retention and Disposal Schedule. In particular, your data shall be retained until the end of your student registration with the institution, plus 6 years, before being destroyed.  Your placement setting is required to adhere to the same schedule.

Right to lodge a complaint with the supervisory authority

You have the right to lodge a complaint with the Information Commissioner’s Office (ICO) as the supervisory authority in respect of the processing of your personal data. Updates to this privacy notice

We may update this privacy notice from time to time in response to changing legal, technical or business developments. When we update our privacy notice, we will take appropriate measures to inform you, consistent with the significance of the changes we make.
